How we handle your application data
This notice explains what KT-Digital collects during recruitment, why we use it, who may receive it and when it is removed.

Data we collect
We process the contact details and application answers you provide, uploaded documents, work samples, test and interview results, availability and compensation information, communications, consent choices, and limited technical and audit data. Please do not submit sensitive personal information that is not requested for the role.
Why we use it
We use the data to receive and verify applications, assess documented role-related evidence, communicate with you, organise selection stages, prevent misuse, document human decisions and, if successful, prepare an employment or contractual relationship. Optional recordings or transfers are used only after the separate choice shown to you.
Use of AI
When AI-assisted document review is enabled, the system sends only privacy-reduced text and the published job criteria to the configured AI provider. Direct identifiers and original documents are not sent for this review. AI may identify missing or explicit evidence, but it does not rank candidates, make the hiring decision or automatically reject an application. A person remains responsible for substantive decisions.
Who may receive data
Access is limited to authorised KT-Digital managers and assessors and to service providers needed for hosting, file security, email delivery and configured AI support. A separate company receives an application only after your explicit referral consent. International access or processing is limited to what is needed for recruitment and protected through access controls and contractual safeguards.
Retention periods
- Unfinished drafts are deleted after 14 days of inactivity.
- Completed applications are stripped of direct identifiers and detailed application material six months after the process reaches a final outcome.
- Remaining process record is deleted after three years, except for minimal evidence that must be retained for security, payment, dispute or audit purposes.
- Received referral copies are scheduled for deletion after 90 days.
Security
Application files are private, malware-scanned and accessible only through authorised workflows. Transport is encrypted, administrative access requires a password and a security code, and relevant access and deletion actions are logged.
Your choices and requests
You may ask for access, correction or deletion of your application data and may withdraw an optional consent for future use. A request may be limited where a payment, security, legal or audit record must be retained. Contact jobs@kt-digital.com; we may need to verify your identity before releasing or deleting data.
